The Process

Here’s what happens when we work together.

Every AGM project follows the same nine steps.

The first five happen inside your business. We talk with you, spend time with your team and learn how the work really gets done.

We don’t build anything until we understand what should change and what should stay just as it is.

We learn how something works before we change it.

Automating a process that doesn’t work only makes the problem happen faster.

So we take the time to understand how your business really runs, including the parts that work well. Those are often the best guide to fixing the rest.

Understanding comes first.

Nine steps, each starting with a simple question.

01

DISCOVER

What do you want your business to be able to do?

We sit down with you and the people who keep the business running. We talk about your goals, your customers, the tools you use today and what’s getting in the way.

What you get: A shared picture of where the business is now and where you want it to go.

02

OBSERVE

What really happens on a busy Tuesday afternoon?

We spend time where the work happens, alongside your team. We notice the workarounds, the side spreadsheets, and the moments when people wait, retype information or chase answers.

Your team simply does their normal work.

What you get: An honest picture of how the business runs, including what’s already working well.

03

MAP

Where does each piece of work start, and where does it end up?

We lay out the full path. Who hands what to whom, where approvals happen, how information moves and what happens when something goes wrong.

What you get: A clear map of your business that your team will recognize.

04

IDENTIFY

What should stay, what should change and what can go?

We look for delays, double entry, steps that depend on one person remembering, and places where things fall through the cracks.

We also identify what’s working and why.

What you get: A short list of what’s worth fixing, in order of how much it matters.

05

DESIGN

How should this work?

We design the better way of working first, then decide what technology it needs.

Sometimes the right answer is to remove a step rather than automate it.

What you get: A plan you approve before anything is built.

06

BUILD

What’s the right tool for each part?

We build what the plan calls for.

That might mean improving systems you already use, connecting them, or building a website, an app, a customer or staff portal, dashboards, automation or a complete system for running the business.

What you get: Working technology built around the way your business operates.

07

TEST

Does it hold up on the busiest, messiest day?

Your team tries it with real work, including the unusual situations we found while mapping.

We check that the information is right and that each person sees what they should.

What you get: Something proven with real work before anyone relies on it.

08

IMPLEMENT

How do we switch over without disrupting the business?

We set everything up, move your existing information across, train each person on what they need and stay close through the first days.

What you get: Your team working the new way and comfortable doing it.

09

OPTIMIZE

What should get better next?

We keep an eye on what’s being used, what’s still slowing people down and what the business needs as it grows.

What you get: A setup that keeps improving after launch.

Why the order matters.

When technology comes first

  • Starts with “we need an app.”
  • Built around how things are supposed to work.
  • Problems show up after launch.
  • Staff find ways around the new system.

When your business comes first

  • Starts with how your business really runs.
  • Built around how the work actually gets done.
  • Unusual situations are handled before launch.
  • Your team helps shape it and test it.
